Terms and conditions

1. Introduction

At The Badminton Retreat, we understand that plans can change. This policy sets out the terms and conditions governing changes, transfers, and cancellations of retreat bookings made through badmintonretreat.com. We ask that all guests read this policy carefully before confirming their reservation.

By completing a booking, you confirm that you have read, understood, and agreed to the terms set out in this document.

2. Booking Confirmation & Deposit

All retreat places are provisional until a deposit has been received and a confirmation email issued by The Badminton Retreat.

• Deposit: A non-refundable deposit of 25% of the total booking value is required to secure your place.
• Balance: The remaining balance is due no later than 60 days before the retreat start date.
• Late bookings: For bookings made within 60 days of the start date, full payment is required at the time of booking.

Custom-made packages may be subject to specific payment schedules agreed in writing at the time of booking. Those terms will take precedence over the standard schedule above.

3. Changes to Your Booking

3.1 Date Changes

We will endeavour to accommodate requests to change retreat dates, subject to availability.

• One complimentary date change is permitted where notice is given 30 or more days before the original start date.
• A date-change fee of €50 per person applies for changes requested with less than 30 days' notice.
• Date changes are not permitted within 7 days of the start date.
• Any difference in package price between the original and new dates must be settled at the time of the change.

3.2 Package Changes

Guests wishing to upgrade or modify their package (e.g. from a 7-day to a 14-day retreat, or adjustments to a custom package) should contact us as early as possible.

• Upgrades are subject to availability and will be invoiced at the current rate for the new package.
• Downgrades requested more than 30 days before the start date will be processed and any difference refunded, less a €25 administration fee.
• Downgrades requested within 30 days of the start date cannot be accommodated; the original booking terms remain in force.

3.3 Name / Guest Changes

A booking may be transferred to another person at any time up to 14 days before the start date, provided the replacement guest meets any relevant requirements and the request is submitted in writing. A transfer fee of €20 applies.

4. Cancellations by the Guest

All cancellations must be submitted in writing to hello@badmintonretreat.com. The date of receipt of your written notice will be used to determine the applicable cancellation tier. Cancellation fees are calculated on the total booking value, inclusive of any add-ons confirmed at the time of booking.

The initial 25% deposit is non-refundable in all cases and is included within the cancellation fees shown above. Where the applicable cancellation fee is less than 25%, the deposit remains forfeited and no additional fee is charged.

4.1 Package-Specific Notes

• Standard: 7-day packages: standard tiers apply as above.
• Extended: 14-day packages: standard tiers apply. Where a guest cancels after the retreat has commenced, no refund will be issued for the remaining nights.
• Custom: Custom packages: cancellation terms will be confirmed in writing at the time of booking. Where no bespoke terms are agreed, the standard tiers above apply.

5. Cancellations by The Badminton Retreat

In the unlikely event that The Badminton Retreat must cancel a retreat, we will notify guests as soon as practically possible and offer one of the following:

• A full refund of all monies paid, including the deposit; or
• A credit of the full booking value, valid for 18 months, to be applied to any future retreat.

The Badminton Retreat will not be liable for additional costs incurred by guests, such as flights or travel insurance, in the event of a cancellation by us. We strongly recommend that all guests hold comprehensive travel insurance that includes cancellation cover.

6. Force Majeure

Neither party shall be in breach of these terms, nor liable for delay or failure to perform, where such delay or failure arises from circumstances beyond their reasonable control, including but not limited to acts of God, natural disaster, epidemic or pandemic, government restriction, civil unrest, or venue closure.

In such circumstances, The Badminton Retreat will make every effort to offer a rebooking credit or alternative arrangement. Refunds under force majeure are at the discretion of The Badminton Retreat and may be subject to deduction of irrecoverable costs already incurred.

7. Travel Insurance

We strongly recommend that all guests arrange comprehensive travel insurance at the time of booking. Your policy should include, at a minimum:

• Cancellation and curtailment cover
• Medical expenses and emergency evacuation
• Loss of personal belongings
• Delays and travel disruption

The Badminton Retreat accepts no responsibility for costs that a suitable travel insurance policy would have covered.

8. How to Submit a Change or Cancellation

All requests must be made in writing. Please contact us via the following:

• For cancellations: Subject line: CANCELLATION – [Your Name] – [Booking Reference]

We will acknowledge receipt within 2 business days and confirm the applicable terms. A change or cancellation is not considered confirmed until you receive a written acknowledgement from us.

9. Refunds

Where a refund is due under this policy, it will be processed within 14 business days of written confirmation of the cancellation. Refunds will be made in Euros to the original payment method used at the time of booking. The Badminton Retreat is not responsible for any currency conversion charges or bank fees applied by the guest's financial institution.

10. Amendments to This Policy

The Badminton Retreat reserves the right to amend this policy at any time. The version of the policy in force at the date of your booking confirmation will apply to your booking. The current version is always available at badmintonretreat.com/policies.
